Two months out: lease and logistics

Confirm your move-out date on your current lease and your move-in date on the new space, and check both for any restrictions on moving hours, elevator use, or loading-dock access. This is also the time to get a written estimate from your mover based on your actual inventory — furniture, equipment, files — rather than a rough square-footage guess.

One month out: records, vendors, and address updates

Update your business address with the IRS, your state, your bank, vendors, and any licenses or permits tied to your physical location. Sort records into what travels, what gets digitized, and what's eligible for secure destruction — this is also a natural point to purge old files you no longer need to retain.

Two weeks out: IT and furniture planning

Confirm the technical plan for servers, workstations, and phone systems with IT or your provider, including exact downtime windows. Finalize the furniture layout for the new space so your mover knows where each desk, cubicle, or system goes on delivery day, rather than figuring it out on the spot.

Move week: the final details

Notify clients or customers of your new address if that's relevant to your business, update your website and any listings, and confirm all logistics one final time with your mover — access at both locations, timing, and your point of contact. A short written plan for employees on what to expect on move day rounds out the checklist.
